Improved categorisation, opening prepayment balances and cleaner UI
Welcome to our weekly product update. Each week, we highlight Briefcase’s latest features and AI improvements designed to make bookkeeping and accounting workflows simpler and more efficient. Here’s what’s new.
Extending categorisation to include moderately and weakly similar transactions đź§
We’ve improved our AI categorisation engine for greater accuracy. It can now use lower-quality matches when stronger ones aren’t available, reliably increasing performance. To keep things transparent, we also now show the strength of the match as well as similar transactions found in your historic ledger.

Opening Balance for Manual Prepayments 📊
You can now add an opening balance to manual prepayments in Briefcase. This makes it much easier to migrate existing prepayments into Briefcase—so they can be automatically tracked, recognised, and reconciled alongside those detected by our AI.
How to bring prepayments into Briefcase:
Enter the total Prepaid Amount (excluding VAT) in your ledger currency.
Add the Opening Balance – the remaining portion still to be recognised in future months.
Set the Start Date and End Date for the remaining recognition period (i.e. only for future months not yet recognised).
Choose the appropriate Account Code and hit Publish.
✅ Don’t forget to remove any recurring journals for this prepayment in your ledger to avoid double posting.

Other things that we shipped for prepayments 🚢
Prepayment entries now default to the same expense account as the original transaction đź§ľ
We improved our prepayment detection agent so it can now detect a wider range of prepayments and create more accurate schedules 🕵️
Cleaner UI for Publish Location 🎨
We’ve redesigned how you choose the publish location when reviewing transactions.
The field is now clearly visible at the bottom of the transaction details page—making it much easier to review and update. It still defaults to the location set in Business Settings for each client, but you can now change it more easily without relying on the dropdown next to the Publish button.
